Job Description: Office Administrator/ Executive Assistant
Reports to: Human Resources Manager
THE ROLE:
CubicFarms is seeking an experienced Office Administrator/Executive Assistant for the Company’s HydroGreen subsidiary in Sioux Falls, South Dakota. Reporting to the Human Resources Manager, with executive assistant responsibilities for the CEO and CFO, the Office Administrator will be responsible for traditional office administration with some executive assistant responsibilities. The successful candidate will manage daily office operations while providing executive-level support to the leadership team, ensuring seamless day-to-day functioning and maximizing executive efficiency.
WHAT WILL YOU DO:
Office Administration:
· Oversee day-to-day office operations, including supply inventory management, office maintenance, and vendor coordination.
· Act as the primary point of contact for office-related inquiries and issues.
· Answer and direct incoming calls.
· Assist and welcome customers and guests / organize VIP tours.
· Ensure office equipment is well-maintained and operational.
· Ensure a well-maintained, organized, and professional office environment.
· Manage incoming and outgoing mail and deliveries.
· Maintain filing systems and office records (electronic and physical).
· Maintain electronic and physical filing systems for easy access and retrieval.
· Assist with onboarding new hires, including setting up workstations, distributing office equipment, and providing an office orientation.
· Track and reconcile office expenses.
· Assist with organizing company events, meetings, and team-building activities.
· Prepare reports and presentations related to office operations.
· Basic remote IT support as directed by the CIO, conference rooms and employee laptops.
Executive Assistant:
· Manage executives’ calendars, including scheduling meetings, coordinating travel.
· Prepare and edit correspondence, presentations, and reports on behalf of leadership.
· Take meeting minutes and follow up on action items.
· Handle confidential and sensitive information with discretion.
· Assist with project management tasks and meeting preparation.
· Coordinate internal and external communications on behalf of executives.
EDUCATION & EXPERIENCE:
· 3+ years of experience in office administration.
· 3+ years of experience in providing executive and board support, including managing electronic calendars, meeting requirements, and travel arrangements.
· Related post-secondary, formal education or administration certification required.
THE IDEAL CANDIDATE WILL POSSESS:
· Excellent organizational and time management skills, with a proven ability to multitask.
· Strong verbal and written communication skills.
· Must have strong computer skills, including proficiency in Microsoft 365 productivity tools such as Word, Excel, PowerPoint, Outlook, Adobe, Zoho Expense, NetSuite.
· High attention to detail and problem-solving abilities.
· Ability to maintain discretion and handle confidential information appropriately.
· Positive, customer service-oriented mindset and proactive work ethic.
· Strong interpersonal skills and ability to foster a positive office environment.
· Spanish-speaking proficiency is a plus.
